Standard Buttons and Filters
With these buttons, actions can be performed in ControlOffice. This article also goes deeper into the available filter options within ControlOffice.
In this article, we’ll walk through the standard functions that are available on almost every screen. We'll start by reviewing what each button does. Each overview screen may include the following buttons, depending on user permissions and the type of overview:

Filtering
Two search filters are available in each screen to search and filter data.
Option 1: General Search Filter
Each screen contains a general search field in the upper-right corner. This search function searches through all available/visible columns. The attachment column is excluded from this search.
Option 2: Advanced Search Filter
In addition, most screens provide an advanced search filter through the funnel icon.
For each column (red), a condition (green) can be specified together with a search value (blue). This allows filters to be built that search for very specific criteria.
Examples of conditions include:
- Between two dates
- Greater than a number
- Less than a number
- Equal to
- Contains
Each filter rule can be placed underneath another filter rule. For example, you can search for all workorders from a particular year, but only if they are of type "Malfunction" and have priority 1.
Creating and Using Views
If you frequently use a filter, for example to view all open workorders every morning, the filter can be saved as a view and reloaded later.
A view can:
- Be shared with other users
- Be edited
- Be deleted
Deleting a shared view means the view will no longer be available for other users. Only the owner of a view can delete a shared view.
Date Handles in Advanced Filters
The advanced search filter also includes options to make date filtering easier.
The following values can be entered when using the condition "Equal to" in the Value field. They can be used to always display items from, for example, the previous week or the next month, regardless of the current date.
| Text | Description |
|---|---|
| [yesterday] | Shows all items matching yesterday's date. |
| [today] | Shows all items matching today's date. |
| [tomorrow] | Shows all items matching tomorrow's date. |
| [previous_week] | Shows all items matching the previous week. |
| [this_week] | Shows all items matching the current week. |
| [next_week] | Shows all items matching the next week. |
| [previous_month] | Shows all items matching the previous month. |
| [this_month] | Shows all items matching the current month. |
| [next_month] | Shows all items matching the next month. |
| [previous_quarter] | Shows all items matching the previous quarter. |
| [this_quarter] | Shows all items matching the current quarter. |
| [next_quarter] | Shows all items matching the next quarter. |
| [previous_year] | Shows all items matching the previous year. |
| [this_year] | Shows all items matching the current year. |
| [next_year] | Shows all items matching the next year. |
For example, using [this_week] as a filter value on a date field (such as the creation date of a workorder) will show all workorders created during the current week. When saved as a view, "this week" automatically moves along as time progresses.
Relative Date Handles
It is also possible to filter date fields using relative date notation, for example 12 hours ago.
The conditions "Before", "After", "Between", and "Not between" support handles. A handle always consists of square brackets, followed by a plus (+) or minus (-) sign, a number, and a unit.
For example:
[-8h]looks back 8 hours.[+2w]looks forward 2 weeks.
The number must always be a whole number.
| Unit | Description |
|---|---|
| n | Minutes |
| h | Hours |
| d | Days |
| w | Weeks |
| m | Months |
| q | Quarters |
| y | Years |
For example, using [-8h] in a filter shows all workorders created during the last 8 hours. This is particularly useful for shift handovers.
The "Me" Handle
Employee fields (such as Responsible Employee or Employee on a workorder) support the "me" handle.
By using [me], only items linked to the currently logged-in employee will be shown.
Practical Examples
By creating smart views, you can quickly retrieve the right information every day with only a few clicks.
For example, create a view showing all open workorders by filtering:
- Status
- Does not contain
- Completed
This leaves only the open workorders.
Or create a view showing all open workorders with a High priority:
- Status
- Does not contain
- Completed
And add:
- Priority
- Contains
- High
Well-designed views save time every day and help maintain a clear overview.
You can also create a view using a handle, for example showing all open workorders assigned to the employee who opens the view.
