Employees
An employee is someone who exists within ControlOffice, for example, someone who can be assigned to a workorder, may be the requester of a request, or the purchaser of a purchase order. All actions performed by an employee within ControlOffice are linked to them, which is why an employee cannot be deleted but only be made inactive by use of the trashcan function.
An employee can have the following basic information filled in.
Additional fields can be added via “Customize detail screens”.
Field | Explanation |

First name | Enter the employee’s first name. |
Last name | Enter the employee’s last name. |
User | Link the employee to the correct ControlOffice user. |
Responsible on work order | Specify whether the employee can appear as responsible on a work order. |
Employee on work order | Specify whether the employee can appear as a regular employee on a work order. |
If an employee is allowed to appear as “employee on a work order”, the employee will also appear in the planning board, and a menu item will be added in the ControlOffice app showing only the open work orders assigned to that employee.
If an employee is allowed to appear as “responsible on a work order”, a menu item will be added in the ControlOffice app showing only the open work orders for which they are responsible.
Departments
Departments can be created here. A department can, for example, be linked to an object as a custom field. Each department must have a code and a name.
Disciplines
Disciplines can be created here and linked to an activity.
Each discipline must have a code and a name.
Services
Services can be created here and linked to an hourbooking entry to track which service the time was booked under.
Each service must have a code and a name.
Shifts
Teams can be created here and linked to an employee and a time entry to track which team the time was booked under.
If an employee is assigned to a team, this team will automatically be populated when the employee creates a time entry.
