Stock exporter and importmodule
This module exports all parts to Excel, a tab per warehouse is created.
This module is specifically designed for importing stock levels and optionally updating warehouse locations. The export function generates an Excel file with a separate tab for each warehouse, containing the parts found in that warehouse. Within each tab, the part information is displayed (but cannot be modified). Only the current stock, minimum stock, and warehouse location can be edited. For other changes, please use the parts export and import module.
Parts that are in the recycle bin are not included in the export—only active parts are exported. If the export/import buttons are not visible, this function must be enabled via the user permissions.
Basic rules for a successful import:
-
Do not alter the Excel layout.
Do not change column titles, delete columns, or rename/remove tabs. Do not modify the structure of the Excel file in any way. -
Reference values must match existing values in ControlOffice.
If a field refers to a predefined list (e.g., a relation or supplier), the value in Excel must match exactly with what exists in ControlOffice. The import function will not create or modify values in those lists.
Example: If a part references relation code 'X', but that relation does not exist in ControlOffice, the import will fail. -
Mandatory fields in ControlOffice are also required in Excel.
For example, attempting to upload a new part without a part code will result in an error. Required fields are highlighted in red in the Excel file.
First create a few parts manually in ControlOffice, then export them. This gives you example rows in Excel that you can build upon.
The import runs as a background process, so you can continue working while it executes. Depending on the amount of data, the process may take some time. If desired, a notification email can be sent when the import starts and finishes. Any errors will be listed in that email.
