Objects export- and importmodule
All objects are exported to Excel. Each object group has its own tab in the Excel file. Objects can be added (new rows in the Excel sheet) or modified.
Click the button at the top of the object list to export all objects and generate an Excel file. Each object group will have its own tab in the Excel file, and each tab will list all the objects within that group. To ensure a successful import of objects, it's important to first correctly create and configure all object groups, and to have any related entities (such as suppliers or maintenance parties) already set up in ControlOffice.
The export module does not include objects that are in the recycle bin—only active objects will be exported. If the export and import buttons are not visible, this feature needs to be enabled through user permissions.
The basic rules for a successful import are as follows:
-
Do not change the formatting of the Excel file. Do not modify column titles, delete columns, or rename tabs. Do not alter the structure of the Excel file in any way.
-
What you can do, which can significantly reduce import time, is delete a tab. By removing a tab—representing an object group—from the Excel file, that group and its contents will be skipped during import and remain unchanged.
-
If a field refers to a predefined set of values, such as a dropdown list, a supplier (relation), or object statuses, the values in the Excel file must exactly match the available values in ControlOffice. The import function does not modify or add values to these lists. Update the values in ControlOffice first, and then proceed with the import. For example, if the Excel refers to a relation with code ‘X’ but no such relation exists in ControlOffice, the import will fail.
-
Required fields in ControlOffice are also mandatory in the Excel file to ensure correct data input. For example, importing a new object without an object code will result in an error. Required fields are highlighted with a red fill in the Excel file.
The best tip we can give is to first create a few objects in ControlOffice manually, then export the data to Excel. This way, you’ll have example rows to use as a template.
The import runs as a background task, so you can continue working while it processes. Depending on the amount of data, it may take a while. If desired, a notification can be sent via email to inform you when the import starts and finishes. If there are errors, they will be listed in the email.
