Certain actions in ControlOffice can be executed automatically.
Background Processes
Here you can view open and completed background processes.
These processes run automatically in the background within ControlOffice.
You can exit this screen by clicking “Back to site” in the top-right corner.
Background Process Management
In this menu, background processes can be configured. There are 6 background processes.
For each process, you can set the execution time and specify the user on whose behalf the process runs.
Example: If a workorder is created by the process, that user will automatically be the requester.

| Automatically convert plan lines to work orders | For each checklist with “Automatically Process” set to Yes, a work order is automatically created from the plan line in Planning by Date when it reaches the planning zone. Note: When this process starts, it does not convert plan lines already in or past the planning zone. Only new lines entering the zone from that moment are processed. |
| Check if work orders’ planned dates are approaching | If a notification is set for “Work Order – Planned Date Approaching”, the system will send the email(s) at the configured time for work orders that are nearing their planned date. |
| Check if purchase order delivery dates are exceeded | If a notification is set for “Plan Line in Planning Zone” or “Plan Line Past Planning Zone”, emails will be sent at the configured time for purchase orders whose delivery date has been exceeded. |
| Check if contracts are nearing their end date | If a notification is set for “Contract – End Date Approaching”, emails will be sent at the configured time for contracts that exceed the warning period. |
| Check if plan lines are in or past the planning zone | If a notification is set for “Plan Line in Planning Zone” and/or “Plan Line Past Planning Zone”, emails will be sent at the configured time for plan lines entering the planning zone (orange) or exceeding it (red). |
| Automatically convert purchase recommendations to purchase orders | If this background process is active, all purchase recommendations will automatically be converted into purchase orders at the configured time. |
